This Privacy Policy explains how Staffify, LLC collects, uses, discloses, and safeguards your information when you use our Vouch service, an AI-powered reference-checking platform. This policy applies to our customers (employers/recruiters), job candidates, and references.
01Information We Collect
A. From Customers (Employers/Recruiters)
- Account Information: Name, email address, company name, billing address, and payment information (processed securely via Stripe).
- Usage Data: Log data, IP addresses, browser types, and interactions with the Vouch dashboard.
B. From Candidates
- Contact Information: Name, email address, and phone number provided by the Customer.
- Reference Information: Names, job titles, relationships, emails, and phone numbers of the references you provide.
C. From References
- Voice Data & Transcripts: When Vera, our AI voice agent, contacts a reference, we collect and record the audio of the phone call and generate a text transcript of the conversation.
- Reference Feedback: Answers to questions regarding the candidate’s past performance, strengths, and development areas.
02How We Use Your Information
We use the collected information for the following purposes:
- To Provide the Service: To contact references, conduct automated AI interviews, and generate structured “Trust Reports” for our Customers.
- To Improve Our AI: To train, fine-tune, and improve our speech-to-text, natural language processing, and conversational AI models (audio data is anonymized before such use where required by law).
- Compliance & Fraud Prevention: To verify the identity of references and prevent fraudulent reference submissions.
- Billing & Administration: To manage customer subscriptions and provide customer support.
03Call Recording & Consent
Vouch uses Vera, its AI voice agent, to conduct reference checks over the telephone. The underlying voice technology may evolve, but references will always be told when they are speaking with AI.
- Notification & Consent: In compliance with federal and state wiretapping and call-recording laws (including “two-party consent” states such as California, Florida, and Illinois), Vera explicitly states at the beginning of every call that she is an AI voice agent and that the call is being recorded for reporting and quality purposes.
- Continued Participation: By continuing to speak with the AI voice agent after this disclosure, references provide their implied and/or explicit consent to be recorded. If a reference does not consent, they may hang up or decline the recording, and the reference check will be marked as incomplete.
04Fair Credit Reporting Act (FCRA) Compliance
While Vouch facilitates the collection of reference data, Staffify, LLC is not a Consumer Reporting Agency (CRA) as defined by the Fair Credit Reporting Act (FCRA), and the Trust Reports generated by Vouch do not constitute “Consumer Reports.”
Customers using Vouch to make employment decisions are solely responsible for ensuring their own compliance with the FCRA, the Equal Employment Opportunity Commission (EEOC) guidelines, and applicable state laws regarding background checks and adverse actions.
05Data Sharing and Disclosure
We do not sell your personal data. We may share your information only in the following circumstances:
- With the Customer: Trust Reports containing reference feedback and transcripts are shared directly with the Customer (the employer/recruiter) who initiated the reference check.
- Service Providers: We share data with trusted third-party vendors who assist us in operating our Service (e.g., cloud hosting via AWS, payment processing via Stripe, and telecommunications routing via Twilio). These providers are bound by strict data processing agreements.
- Legal Requirements: We may disclose information if required to do so by law, court order, or subpoena.
06Data Retention and Security
- Security: We implement industry-standard encryption (in transit and at rest) to protect your personal information and voice recordings.
- Retention: We retain candidate and reference data for as long as the Customer maintains an active account, or as directed by the Customer. Customers may delete candidate records from their dashboard at any time. Voice recordings are retained for a standard period of 90 days before being permanently deleted, unless a longer retention period is requested by the Customer for compliance purposes.
07Your Privacy Rights (GDPR & CCPA)
Depending on your jurisdiction (e.g., the European Economic Area under GDPR, or California under CCPA), you may have the right to:
- Request access to the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your personal data (“Right to be Forgotten”).
- Opt-out of the sale or sharing of your personal data (Note: We do not sell personal data).

08Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify Customers of any material changes by posting the new Privacy Policy on our website and updating the “Effective Date.”
